2. About the Opportunity:


The Wellness Event Coordinator is responsible for planning, managing, and executing engaging events that support the organization’s wellness initiatives. This role ensures smooth delivery of virtual, hybrid, and onsite events by managing logistics, technology, and vendor relationships. It plays a key role in creating positive experiences for attendees and stakeholders, contributing to the success of wellness programs and overall client satisfaction.


3. Responsibilities:


• Plan and coordinate virtual, hybrid, and onsite events from concept to execution

• Develop event timelines, run-of-show documents, and task lists

• Coordinate schedules with speakers, presenters, internal teams, and vendor partners

• Manage virtual event platforms and conduct tech rehearsals

• Monitor live virtual events and troubleshoot issues

• Coordinate venue logistics, setups, audiovisual needs, and catering for onsite events

• Serve as main onsite contact, overseeing setup, registration, marketing, and breakdown

• Provide customer-facing support to attendees, speakers, and partners

• Respond promptly to inquiries ensuring an inclusive and organized event experience

• Liaise with vendors, venues, service providers, and brokers

• Provide weekly event updates to Wellness Strategy Managers

• Track deliverables, contracts, and event materials

• Deliver post-event reports and feedback summaries

• Identify improvement opportunities and share insights with the team


4. Requirements:


• College degree preferred

• Minimum 2 years experience in event planning, wellness, customer service, or related fields

• Passion for health and wellbeing

• Experience coordinating virtual and/or onsite events, with hybrid event experience preferred

• Familiarity with event management software preferred

• Insurance brokerage experience in employee benefits preferred

• Strong organizational and time-management skills

• Excellent written and verbal communication skills

• Comfortable with event platforms, scheduling tools, and AV technology

• Ability to remain calm and solutions-focused under pressure

• Ability to work independently and seek support proactively

• Customer-service mindset with high attention to detail

• Ability to multitask and adapt to changing priorities

• Proficient in Microsoft Word, Excel, Access, PowerPoint; Salesforce experience preferred


5. Pay Range and Compensation Package:


• Full-time, exempt position

• Salary based on location, skills, and experience

• Bonus eligible
