Job Summary:
We are seeking a detail-oriented and proactive Freelance Events Coordinator to support IGK Hair in delivering elevated in-store and brand events, requiring approximately 5 hours of work per week. This role focuses on bringing new product launches and core SKU campaigns to life through polished, well-executed event experiences.
The role works in coordination with the Marketing and Influencer teams and receives project direction from the Director of Trade Marketing related to event deliverables.
This is a remote freelance/independent contractor position open to candidates based in Miami or New York. As an independent contractor, you will determine the manner and means of completing assigned work, while aligning with agreed timelines and deliverables.
What You'll Do:
- Support the Director of Trade Marketing in planning and executing elevated in-store events for new IGK Hair launches and core SKU campaigns
- Partner closely with Influencer Managers on event strategy and logistics, including the integration of influencer talent and professional stylists
- Serve as the primary point of coordination for vendors, retail partners, and talent logistics across all assigned events
- Manage event timelines, run-of-show documents, and pre-event checklists to ensure flawless execution
- Ensure all elevated events — both in-store and brand-operated — run smoothly from planning through wrap-up
- Communicate proactively with internal stakeholders to provide event status updates and flag any risks or changes
- Additional project-based responsibilities may be assigned as needed
Non-Essential Job Functions
- Assist with post-event recaps, asset collection, and reporting
- Provide general administrative support for departmental initiatives as needed
What You'll Bring:

- 1–3 years of experience in event coordination, experiential marketing, or a related field — beauty, retail, or lifestyle industry experience preferred
- Exceptional organizational skills and strong attention to detail
- Ability to manage multiple moving parts simultaneously and stay calm under pressure
- Experience working with vendors, retail partners, and talent a plus
- Strong written and verbal communication skills
- Proficiency in project management or event tracking tools (e.g., Notion, Airtable, Google Workspace) preferred
- A proactive, collaborative work style and a solutions-oriented mindset
Physical Requirements:
- Must be able to travel to events, which may require standing for extended periods and carrying event materials
- Must be able to bend, stretch, kneel, twist, and squat to adjust or position equipment or set up for events
