About The Role

We are seeking a highly experienced Executive Assistant to provide comprehensive administrative support to our senior leadership team. This role is pivotal in ensuring the smooth operation of executive functions by managing complex schedules, coordinating international travel, and handling sensitive information with discretion. The successful candidate will serve as a trusted partner to executives, facilitating communication and organization across various departments and external partners. The role requires a proactive individual with exceptional organizational skills, emotional intelligence, and the ability to operate effectively in a remote work environment. The Executive Assistant will be instrumental in supporting strategic initiatives, preparing reports and presentations, and maintaining high levels of professionalism in all interactions. Flexibility to accommodate early-morning hours and support global stakeholders across different time zones is essential.

Qualifications

  • Minimum of 8 years of executive administrative experience supporting senior-level executives, preferably within a Marketing organization.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
  • Proven ability to manage competing priorities and exercise sound judgment in a fast-paced environment.
  • Strong multitasking skills with the ability to meet deadlines and manage time effectively.
  • Exceptional organizational skills and meticulous attention to detail.
  • Excellent interpersonal and communication skills, capable of engaging with individuals at all organizational levels.
  • Experience managing budgets, expense reports, and administrative tracking or reporting.
  • Ability to handle highly confidential and sensitive information with discretion.
  • Authorized to work in the United States without sponsorship now or in the future.

Responsibilities

  • Provide high-level administrative support, acting as a trusted partner and extension of the executive office.
  • Manage complex, high-volume calendars, including scheduling meetings with senior executives, staff meetings, all-hands calls, and leadership forums.
  • Coordinate domestic and international travel arrangements, including itineraries, travel documentation, and expense reporting.
  • Handle confidential and sensitive information with the utmost discretion, exercising sound judgment in all interactions.
  • Proactively identify urgent issues or requests and take appropriate actions to ensure timely resolution.
  • Prepare executive correspondence, create and edit spreadsheets, presentations, and reports, and support special projects as needed.
  • Operate effectively in a remote environment, demonstrating flexibility for early-morning hours to support international stakeholders across different time zones.
  • Foster strong professional relationships within the organization and with external partners, demonstrating emotional intelligence and professionalism in live interactions via phone, video, and in person.
