2. About the Opportunity:

The Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer and Vice President of Operations. This role ensures executive effectiveness by managing calendars, coordinating meetings and committees, supporting communications, and diligently following through on leadership priorities. It serves as a key coordinator for board, committee, and leadership activities, enabling smooth, organized execution of executive and volunteer governance functions.


3. Responsibilities:

• Proactively manage calendars for the CEO and VP of Operations, prioritizing and resolving scheduling conflicts

• Coordinate travel arrangements, logistics, and briefing materials for executive leaders

• Manage email flow, meeting requests, and communications with sound judgment

• Organize logistics and prepare materials for board, committee, council, and advisory meetings

• Schedule meetings, prepare agendas and packets, document notes and action items, and ensure timely follow-up

• Act as a contact point for board members, committee chairs, and volunteer leaders regarding coordination

• Coordinate in-person and virtual executive and staff meetings, including scheduling, agendas, materials, and logistics

• Support preparation and follow-up for leadership meetings such as executive sessions and operational planning

• Draft, format, and distribute executive communications as directed

• Prepare briefing documents and coordinate logistics for external events and conferences

• Maintain organized records and correspondence to support decision-making

• Use technology tools including Microsoft 365, BoardEffect, Teamwork, and Salesforce effectively

• Maintain confidentiality and discretion in handling sensitive information

• Collaborate across departments to facilitate leadership-driven activities


4. Requirements:

• 5 to 8+ years of experience supporting C-suite or senior leaders in executive assistant or senior administrative roles

• Experience supporting boards, committees, or volunteer governance structures preferred

• Experience in nonprofit organizations or professional associations is a plus

• Exceptional organizational, planning, and time management skills

• Strong written and verbal communication skills for executive, board, and volunteer audiences

• High professionalism, sound judgment, and discretion

• Ability to manage multiple priorities with accuracy and attention to detail

• Comfortable working in a fast-paced, distributed executive environment

• Proficient with modern productivity and collaboration tools


5. Pay Range and Compensation Package:
