We are currently looking for a C-Level Executive Assistant who thrives in fast-paced executive environments and demonstrates exceptional discretion, ownership, and organizational excellence. The ideal candidate will act as a strategic partner to senior leadership, proactively managing priorities, protecting executive time, and ensuring seamless day-to-day operations. This role requires strong business judgment, executive presence, and the ability to anticipate needs before they arise.

Core Responsibilities

Executive & Strategic Support

  • Provide high-level administrative and strategic support to C-Suite executives (CEO, COO, CFO, or equivalent)
  • Manage complex executive calendars, scheduling across multiple time zones and competing priorities
  • Act as gatekeeper for executive communications, prioritizing emails, calls, and meeting requests
  • Prepare executive briefings, reports, presentations, and correspondence
  • Support decision-making by organizing information, tracking action items, and following up on priorities

Operations & Project Coordination

  • Coordinate cross-functional initiatives and ensure alignment between departments
  • Lead meeting preparation, agenda creation, documentation, and follow-ups
  • Track projects and deadlines, ensuring timely execution of executive initiatives
  • Maintain confidential records, contracts, and sensitive business documentation

Travel & Logistics Management

  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
  • Manage executive expenses, reimbursements, and budget tracking
  • Support planning of executive off-sites, leadership meetings, and company events

Stakeholder & Communication Management

  • Serve as liaison between executives, internal teams, clients, and external partners
  • Maintain professional and polished communication representing executive leadership
  • Handle confidential matters with the highest level of discretion and professionalism

Requirements

REQUIRED EXPERIENCE & QUALIFICATIONS

  • 4-5+ years of proven experience supporting C-Level executives (CEO, COO, CFO, Founder, or similar leadership roles)
  • Previous experience working as a C-Level Executive Assistant or Senior Executive Assistant
  • Exceptional English communication skills (written and verbal)
  • Strong calendar management experience in high-pressure, fast-moving environments
  • Advanced organizational and multitasking abilities

Advanced proficiency with:

  • Google Workspace or Microsoft Office Suite
  • Calendar & scheduling tools (Outlook, Google Calendar, Calendly)
  • Project management tools (Asana, Monday.com, Notion, ClickUp, etc.)
  • Virtual collaboration platforms (Slack, Zoom, Teams)
  • Strong project coordination and operational support experience
  • Ability to work independently with minimal supervision
