About the Opportunity
The Administrative Coordinator plays a key role in supporting department operations through effective communication, organization, and administrative assistance. This position ensures efficient workflow and helps leadership manage schedules, correspondence, and projects. The role contributes to operational success by enabling smooth coordination of meetings, reports, and special initiatives.
Responsibilities
- Executive Support: Manage calendars, appointments, and travel arrangements for leadership; resolve calendar conflicts and handle meeting logistics.
- Communication: Answer and screen phone calls professionally; communicate messages and inquiries confidentially.
- Documentation: Prepare correspondence, reports, and presentations; file, retrieve, and organize reference materials.
- Project Tracking: Follow up on leadership initiatives such as contracts, evaluations, and compliance; attend project meetings and take minutes.
- Data & Research: Conduct research and analyze data for specialized reports; manage data entry in department databases.
- Financial Oversight: Maintain reports related to time, expenses, projects, and budgets.
- Event Coordination: Coordinate staff meetings, regional activities, and seminars, including agendas and attendee registration.
- Process Improvement: Review and improve operating practices as needed to enhance workflow.
- Marketing Support (if assigned): Serve as the main contact for interdepartmental requests, maintain marketing assets/distribution lists, and support campaign execution.
Requirements
- Education: High School Diploma or GED equivalent.
- Experience: Minimum two years in administrative support, office coordination, or project coordination.
- Skills: Strong organizational skills with the ability to prioritize multiple tasks accurately under time-sensitive conditions.
- Communication: Excellent verbal and written customer service skills.
- Knowledge: Familiarity with standard administrative procedures and business practices.
- Mindset: Analytical and collaborative; able to work independently or within a team.
Preferred Qualifications
- 3–4 years of experience in complex administrative support.
- Experience supporting Marketing teams (if assigned to that department).
- Previous customer service experience.
Compensation
The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, and other relevant factors.
