Qualifications
- High School Diploma or GED (required); college degree or technical coursework in business, finance, or related field preferred
- Minimum of three to five years of relevant administrative or clerical experience, or an equivalent combination of education and experience
- Proficiency in using records management, accounting, word processing, presentation, and database software
- Knowledge of basic math and accounting principles
- Strong data entry skills with attention to accuracy and detail
- Excellent oral and written communication abilities
- Effective organizational skills with the ability to multitask and prioritize tasks
- Understanding of finance or budget management processes is advantageous
- Ability to work independently with moderate supervision and exercise sound judgment
- Establish and maintain effective office systems, procedures, and supply inventories to ensure smooth operations
- Provide exceptional customer service to internal teams and citizens via in-person, email, and telephone interactions, including explaining policies and procedures
- Support specific departmental projects or programs by organizing materials, compiling records, and maintaining databases
- Enter data accurately, generate reports, and support record-keeping activities
- Prepare correspondence, open and route incoming mail, and manage outgoing communications
- Assist with basic financial tasks such as fee collection, data entry, and tracking
- Coordinate schedules for meetings, training sessions, and travel arrangements, including preparing agendas and transcribing minutes
- Act as a liaison between the department and other City offices to facilitate communication and collaboration
- Administer document and record management systems to ensure compliance and accessibility
- Support planning and coordination of departmental events, including setup and catering for Boards and Commissions as needed
- Variable hourly pay rate ranging from $25.00 to $30.00 per hour, based on experience
