About The Role

The Administrative Assistant to the Senior Vice President, Global Marketing, plays a pivotal role in supporting executive leadership and their teams in a fast-paced, dynamic environment. This position involves providing proactive administrative support, including calendar management, travel arrangements (domestic and international), and event planning for leadership meetings and organization-wide events. The role requires a highly organized, creative, and detail-oriented individual capable of managing multiple priorities with discretion and professionalism. The candidate will collaborate closely with other administrative professionals across the organization, ensuring seamless daily operations and contributing to team morale. Responsibilities also encompass project management support, including preparing reports, managing organizational charts, processing invoices, and coordinating performance reviews. The successful candidate will thrive in a culturally diverse environment, demonstrating excellent communication skills and a positive attitude to foster effective teamwork across global teams.

Qualifications

  • High school diploma or GED; 5+ years of experience as an administrative assistant or related professional area.
  • Or a 4-year degree from an accredited university, preferably with a focus on Hotel and Restaurant Management.
  • Experience in marketing, hotel operations, or event management is preferred.
  • Extensive knowledge of administrative processes and advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
  • Strong organizational skills with the ability to manage a fast-paced, dynamic executive calendar.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Proven problem-solving skills and the capacity to make independent decisions.
  • Flexibility and adaptability to change, with a proactive approach to work priorities.
  • Ability to collaborate effectively within diverse, international teams across multiple time zones.

Responsibilities

  • Manage the Senior Vice President’s calendar, including scheduling appointments, meetings, and travel arrangements, evaluating options, and making logistical decisions.
  • Coordinate and plan large-scale meetings, including venue selection, logistics, catering, and technical requirements, ensuring adherence to budgets.
  • Respond to departmental inquiries via phone and email, providing accurate information and follow-up as needed.
  • Draft and prepare correspondence, reports, and presentations on behalf of the leadership team, maintaining professionalism and accuracy.
  • Assist in organizing organization-wide events such as Town Halls, leadership meetings, and special functions, managing content delivery and logistics.
  • Research and develop administrative policies and procedures to improve department efficiency.
  • Reconcile expense reports, process invoices, and support budget forecasting activities.
  • Coordinate performance reviews, organizational charts, and other HR-related documentation.
  • Support project management activities, tracking progress and ensuring deadlines are met.
  • Build and maintain relationships with internal teams, external vendors, and stakeholders to facilitate effective communication and collaboration.
  • Prioritize tasks dynamically, managing urgent issues with a positive and solution-oriented approach.
