- Serve as the primary point of contact for the Assistant Director, managing communications and follow-ups
- Plan and lead division projects, preparing necessary documentation and correspondence with minimal direction
- Coordinate logistics for meetings and training, including managing agendas and taking notes
- Act as the data steward, tracking and preparing reports for performance reviews and agency reporting
- Support fiscal operations, including cash handling and invoice processing, ensuring compliance with agency policies
- Minimum of four (4) years of full-time experience providing senior-level secretarial or administrative support for a mid-level or executive manager
- Proven ability to accurately produce and edit correspondence and documents (e.g., meeting minutes, reports)
- Demonstrated proficiency in Microsoft Office products (Outlook, Word, Excel, Teams, SharePoint) and Adobe Acrobat
- Ability to maintain confidentiality and demonstrate discretion in job performance
- Strong organizational skills with a focus on attention to detail and effective communication
- Experience in coordinating cross-agency meetings and providing backup administrative support
- Familiarity with SharePoint site administration and document management
- Background in public service or knowledge of retirement systems and benefits administration
- Skills in managing multiple complex assignments with competing priorities
- Commitment to continuous learning and personal growth in a professional setting
